How to Set Up Your Email Signature in Gmail

Setting up a professional email signature in Gmail takes just a few minutes. Whether you're using a personal Gmail account or Google Workspace, the process is straightforward.

Step 1: Create Your Signature

Before heading to Gmail settings, you'll need your signature HTML ready. Use Signature Studio to design a professional signature with your name, title, contact info, logo, and social links. When you're happy with the preview, click Copy Rendered.

Step 2: Open Gmail Settings

  1. Open Gmail in your browser
  2. Click the gear icon in the top right
  3. Click See all settings

  1. Click Create new and give your signature a name (e.g., "Work" or "Default")
  2. In the signature editor, press Ctrl+V (or Cmd+V on Mac) to paste your signature

Step 4: Set Defaults

Below the signature editor, choose:

  • For new emails use: Select your new signature
  • On reply/forward use: Select your new signature (or "No signature" if you prefer)

Step 5: Save Changes

Scroll to the bottom and click Save Changes. Send yourself a test email to verify everything looks correct.

Tips for Gmail Signatures

  • Image hosting matters: Gmail doesn't host images in signatures. Use externally hosted images (Signature Studio handles this for you).
  • Keep it under 10,000 characters: Gmail has a size limit for signatures.
  • Test on mobile: Open your test email on your phone to make sure it renders well.
  • Multiple signatures: Gmail lets you create multiple signatures for different purposes.

Troubleshooting

Images not showing? Make sure your images are hosted on a publicly accessible URL (not a local file path).

Formatting looks wrong? Try pasting with Ctrl+Shift+V first to clear formatting, then paste normally with Ctrl+V.

Signature too large? Gmail may strip or distort very large signatures. Keep logo dimensions under 200px width.

Google Workspace Users
